Rental Terms and conditions
General Terms
Supplier reserves the right to refuse or cancel booking at any time if you do not meet renting requirements.
Please ensure that the driver's credit/debit card has sufficient funds available.
A valid driving license and passport must be held from all drivers.
All additional drivers must meet the same licence requirements as the main driver. The first driver is included in the rates but a daily charge for additional drivers may apply.
Airport shuttle service will be available and free of charge, within normal office hours, for all stations located outside the airport perimeter.
Vehicle must be returned at the pre-arranged rental station, until the expiry of the rental period and should be returned in the same condition as when rented without missing fuel, additional equipment and/or parts, with normal wear and tear excepted, to avoid additional charges.
The vehicle is covered by roadside assistance for any mechanical faults. If the call out is due to driver negligence, for example lost keys or running out of fuel, the renter may be charged a breakdown call out fee.
Your reservation will be considered as NO-SHOW if you cannot be present on time at the station to pick up your car without a prior notice. In this case a no-show fee may be applied.
Local tolls or highway fees are charged on the driver and paid on the spot.
Smoking is prohibited in all OtoQ vehicles.
Security Deposit
The supplier requires a security deposit when you collect the vehicle.
The security deposit is deducted from your credit or debit card according to your insurance package of your choice.
Cash deposits are not accepted.
Restricted roads / areas of use
Off-road driving is prohibited. Driving on poorly paved or unpaved roads, that could cause damage to the vehicle, is prohibited. In any of the above cases insurance cover is not applicable, and the driver is responsible for the whole damage cost.
Optional items / extras
Special equipment and optional extras may be requested at time of booking or at the pick-up time, but are subject to availability and change without notice.
Traffic infringements & Fines
It is the renter's responsibility to cover the cost of any fines such as speeding, parking fines or toll evasion, incurred during the rental period. The supplier will charge you a fee to administer any fines.
Age rules
The minimum age to rent is 21 years old, for categories MINI ECONOMY COMPACT INTERMEDIATE. For all other categories the minimum age to rent is 24 years old. Maximum age to rent is 85 years old. For young/senior drivers additional fee is applied.
Mileage policy*
- Rates include unlimited mileage.
*To ensure the quality of our vehicles and services OtoQ has implemented a fair usage policy on all unlimited mileage products. OtoQ reserves the right to take any necessary action or implement penalties if in OtoQ opinion, a customer’s usage is deemed excessive/abusive.
Fuel policy
Same to Same Policy: Your vehicle will be supplied with a certain amount of fuel. You will be required to return the car with the same level of fuel that you received the car with. If the vehicle is not returned with the same amount of fuel, the supplier will charge you any missing fuel plus a refueling fee of 20€.
One-way rentals
One-way rentals are permitted with a 48-hour prior notice of the company. A one-way fee will be applied.
Driver licence rules
All drivers must have a valid license from their country of residence. Driving license printed with non-Latin Alphabet (Arabic, Chinese, Japanese, Cyrillic etc) must be complemented by an International driving license or official translation.
License must be valid for the entire rental period.
The license must have been held for a minimum of 1 year.
Additional proof of the driver's identity and address is required.
Amendments to bookings
If you experience any delays, you must inform the office immediately prior to your reserved pick-up time.
You will not receive a refund if you return the vehicle earlier, reduce the number of days on your confirmed reservation or downgrade the vehicle type from the category booked.
Cancellation Policy
Cancellation of your reservation should be made in writing. Please note that telephone cancellations will not be accepted.
Cancellation made up to 48 hours prior local pick-up time a full refund is applied.
Cancellation made less than 48 hours and up to 24 hours prior local pick-up time 50% refund will be applied.
Cancellation made less than 24 hours of the local pick-up time will not be refunded.
Refund procedure may take up to 30 business days from the cancellation date.
Service out of business hours
Out of hours service is available on request. Fees apply for either pick up, drop off or both.
Full Terms
Additional Driver
Additional drivers must meet all renter requirements. Additional drivers can be added to the contract at any rental branch. The daily surcharge per additional driver is 5€ with a maximum total charge of 50€.
The maximum number of additional drivers permitted is 3.
Out of Hours Service
After hours is a service provided to pick up and/or drop off a vehicle beyond the opening hours. An additional charge of 50€ including airport fee, applies and must be paid at the rental counter.
Late Return
After 60 minutes of the vehicle’s agreed return time, a full-day rate is charged plus the late return fee 25€.
Age Requirements
The minimum driver age is 21 years –old, a valid driving license must have been held for a minimum of 1 year.
The maximum driver age is 85 years-old, a valid driving license must have been held for a minimum of 1 year.
For car categories MINI, ECONOMY, COMPACT AND INTERMEDIATE the minimum driver age is 21 years old, a valid driving license must have been held for a minimum of 1 year.
For all other categories minimum driver age is 24 years old and a valid driving license must have been held for a minimum of 3 years.
For drivers younger than 24 years old an additional fee of 10€ per day up to 100€ in total will be applied.
For drivers older than 71 years old an additional fee of 10€ per day up to 100€ in total will be applied.
Cross Border Policy
Cross Border is not available in all areas. In specific areas where service is available a written permission from OtoQ is mandatory. An additional fee will be applied. Green card expenses etc are paid directly to the local Authorities.
Damage Waiver
Covers the renter’s liability for damages to the rented vehicle - under the condition that the damage is not due to infringement of Road Circulation Code, with a deductible amount of:
- 450€ for car groups MINI, ECONOMY.
- 650€ for car groups COMPACT, INTERMEDIATE.
- 1200€ for car groups HYBRID SUV, MINI VAN (7SEATS), PASSENGER VAN (9 SEATS).
- 1500€ for car groups PREMIUM, LUXURY.
CDW does not provide any cover concerning damages caused at the underside part of the vehicle, parts of the interior of the vehicle, wind shields, mirrors, car key damage, antenna, incorrect fuel, during transportation by ferry without prior written authorization by OtoQ at the time of pick up, acts of God, terrorist attacks, wheels and tires. If CDW is not included to the Rental Agreement, the renter is liable to pay in full the amount for damages of the rented car. The Accident Statement should always be supplemented so that the insurance covers will be in effect. If there is a third party involved in an incident, we recommend clients to call the police authorities on the spot. In case of car damage or a car theft, an administration fee (D.A.F.) of 40€ and/or Airport Fee will be charged to the driver.
Damage Waiver Exclusions/Voids
Collision Damage Waiver does not cover: tire punctures, wheel damage, interior damage, chipped or cracked windshield, wrong fuel, undercarriage damage, damage to lights or lenses, mechanical damage, damage from dangerous substances. Collision Damage Waiver will be voided if damage is caused by: driving under the influence of drugs or alcohol, unauthorized drivers, racing or speed contest or competition, unlicensed driver or driver training, driving over state or international borders in violation of the Rental Agreement, towing or pushing, intentional damage, simple negligence, gross negligence or recklessness, driving off of a regularly maintained roadway, using the vehicle for hire, driving in violation of local traffic laws, failure to secure the car keys, or failure to lock or secure the vehicle.
Delivery and Collection
Delivery and collection are not available on all stations. If available, service is upon request. Please send your request to bookings@otoq.rent prior to your arrival. An additional charge per kilometer of 1€ +VAT fee applies.
One Way Drop Policy
This is an on-request service and is available in specific locations. All rentals where the vehicle is returned to a different location than the collection office, will be subject to an one-way fee. One-way rentals must be requested at the time of booking. Unauthorized one-way drops will be charged at the end of the rental. The one-way fee must be paid at the rental counter. Inclusive Policy
Rental charges include unlimited mileage, collision damage waiver (CDW), theft protection (TP), third party liability, airport fees and VAT. Additional protection products may be purchased. All extra special equipment and protection products not included in the package are subject to airport fees and VAT.
Forms of Payment
Payments concerning rental, damage cost, missing fuel, fines and/or fees, can be made by cash, credit or debit card. Any given card must be on driver’s name.
The following cards are accepted forms of payment:
- Visa (Credit and Debit cards).
- MasterCard (Credit and Debit cards).
Virtual or prepaid cards are not accepted.
Deposit
CREDIT or DEBIT CARD HOLD: The estimated amount of the rental and excess amount plus up to 100€ will be authorized against your credit/debit card at the time of rental. This amount will no longer be available for your immediate use and may take up to 30 business days, after the end of the rental period, depending on your bank, to become available. We will not be responsible for any returned check(s) or insufficient fund charges or bank fees related to this process.
The deposit amount must be taken on a valid credit or debit card. Please enquire at the local branch for details. All cards presented must be in the main driver’s name. A security deposit will be blocked to the credit/debit card plus the estimated cost of the rental will be charged at the time of pickup. The deposit that will be blocked on the card will be released by the cardholder’s bank, upon its notification after vehicle return.
Required deposit amount per car category:
- 450€ for car groups MINI, ECONOMY.
- 650€ for car groups COMPACT, INTERMEDIATE
- 1200€ for car groups HYBRID SUV, MINI VAN (7SEATS), PASSENGER VAN (9 SEATS).
- 1500€ for car groups PREMIUM, LUXURY.
Roadside Protection
Roadside Assistance - Free of charge and available 24/7. The emergency phone is written on the Rental Agreement, and/or provided by the rental agent at the time of pickup of the car.
In case the vehicle needs assistance out of the national road network (restricted roads/areas as described in general terms) the towing cost must be paid by the renter in full.
Renter Requirements
Driver’s License: The driving license of the driver must be issued at least 12 months prior to rental. Renters carrying a driving license from an EU member state or Switzerland do not require an International Driving Permit. For all other countries a valid International Driving Permit is required along with the national driving license. Renters are advised to check whether local authorities require foreign drivers to present an International Driving Permit to avoid the risk of potential fines. Renters with licenses from countries who are not part of the International Driving Permit Agreement should carry a certified translation. Please note that we reserve the right to request additional ID or conduct further identification checks if which needed may include an identity check with an external organization. Upon the United Kingdom leaving the European Union (EU) the requirements for UK Driving license holders driving in EU member states may change. Please check the requirements before travelling. OtoQ Greece can accept a National Driving License if the driver holds a valid driving license from: Austria, Belgium, Bulgaria, Croatia, Cyprus, Czech Republic, Denmark, Estonia, Finland, France, Germany, Greece, Holland, Hungary, Ireland, Italy, Latvia, Lithuania, Luxembourg, Malta, Poland, Portugal, Romania, Slovakia, Slovenia, Spain, Sweden, Switzerland & United Kingdom.
OtoQ Greece can accept a National Driving License but with Latin Characters if the driver holds a valid driving license from: Albania, Armenia, Azerbaijan, Bahamas, Bahrain, Belarus, Bosnia & Herzegovina, Brazil, Central African Republic, Chile, Congo, Costa Rica, Cuba, Ecuador, North Macedonia, Georgia, Ghana, Guyana, Indonesia, Iran, Iraq, Israel, Ivory Coast, Kazakhstan, Kenya, Kuwait, Kyrgyzstan, Liberia, Mexico, Moldova, Monaco, Mongolia, Montenegro, Morocco, Nigeria, Northern Ireland, Norway, Pakistan, Peru, Philippines, Qatar, Russia, San Marino, Saudi Arabia, Senegal, Serbia, Seychelles, South Africa, South Korea, Tajikistan, Thailand, Tunisia, Turkey, Turkmenistan, Ukraine, United Arab Emirates, United Kingdom, Uruguay, Uzbekistan, Venezuela, Vietnam & Zimbabwe.
OtoQ Greece can accept an International Driving License (driver’s valid national driving license must accompany the International Driving license at all times) if the driver holds a valid driving license from: Australia, Canada, Japan, North Korea, United States etc.
OtoQ Greece can accept a National Driving License if the driver holds a valid driving license from China as long as an English translation form is provided
Full Damage Waiver (FDW)
Full Damage Waiver (FDW) is optional and reduces the excess amount on CDW to zero - under the condition that the damage is not due to infringement of the Road Circulation Code. CDW must be purchased or inclusive for renters to qualify for the purchase of FDW. FDW does not provide any coverage concerning damages caused at the underside part of the vehicle, interior of the vehicle, wind shields, mirrors, car key damage, the antenna, incorrect fuel, acts of God, Terrorist Attacks, during transportation by ferry without prior written authorization by the company at the time of pick up the car, wheels and tires. The Accident Statement should always be supplemented so that the insurances’ covers will be in effect. In case of car damage or a car theft, an administration fee (D.A.F.) of 40€ and Airport Fee will be charged to the driver. This charge applies regardless of the party at fault. Vehicles returned with stained interior or extremely dirty exterior that cannot be cleaned with normal / common washing, client’s will be charged for minimum 30€ to 150€ for the special cleaning of the car. If the driver drives the vehicle off the official road network and the vehicle immobilized, the driver will be charged the cost of towing the vehicle from roadside assistance.
Wheels, Underside, Glass Protection (WUG)
This cover product is available in specific locations in Greece. For buying WUG, it is mandatory to purchase the FDW. Covers the damages to the underside part of the vehicle, wind shields, mirrors, key locks, the antenna, during transportation by ferry if the Transportation via ferry insurance purchased at the pickup, wheels and tires. These damages are covered under the condition that they are not due to infringement of the Road Circulation Code.
Supplemental Liability Protection
SLP SUPPLEMENTARY LIABILITY PROTECTION (THIRD PARTY LIABILITY) SLP Third Party Liability is included in the rate and covers each person for the amount of up to 1,220,000€ for bodily injury and/or death to third parties as well as up to 1,220,000€ for third party property damage.
Theft Protection
THEFT WAIVER (TW): Covers the rented vehicle against total theft with a deductible amount of
- 450€ for car groups MINI, ECONOMY.
- 650€ for car groups COMPACT, INTERMEDIATE
- 1200€ for car groups HYBRID SUV, MINI VAN (7SEATS), PASSENGER VAN (9 SEATS).
- 1500€ for car groups PREMIUM, LUXURY.
Attempted theft of the vehicle, car key loss, theft of the personal belongings that were in the vehicle, acts of God and Terrorist Attacks are not covered by any insurance. The car key and the Police Document for the theft vehicle that was reported by the driver of the car, should always be presented so that the insurances’ covers will be in effect. If TW is not included in the Rental Agreement, the renter is liable to pay the value of the rented car.
